Booking & Payment Terms
By making a booking or using our travel experiences and services, you agree to abide by the terms and conditions set forth by Lanka Adventure Explorers (Pvt) Ltd. Please read them carefully before proceeding with any transactions.
Deposit & Final Payment Schedule:
- Initial Deposit: A 50% advance payment is required at booking to secure your tour or vehicle.
- Bank Transfers: Clients are responsible for covering all bank charges associated with international or local bank transfers.
- Final Balance: The remaining 50% payment should be completed no later than 7 days prior to arrival (or 45 days prior for selected expedition packages).
- Exchange Rates: Fixed based on the Central Bank of Sri Lanka at the time of booking to ensure transparency with zero hidden postage or booking fees.
Your reservation is considered confirmed only when Lanka Adventure Explorers provides written confirmation and a Travel Voucher following deposit clearance. All participant names must match their respective valid passports exactly.
Cancellation & Refund Policy
We maintain clear guidelines for cancellations and no-shows, calculated according to the timing of notice receipt:
Critical Cancellation Policy Highlights
- More Than 45 Days Before Arrival: 80% of the total booking cost will be refunded.
- Within 45 Days of Arrival: No refund will be provided.
- No Show: 100% forfeiture; no refund will be issued.
- Non-Refundable Fee: A 20% baseline fee of the total booking amount is non-refundable under all circumstances.
Cancellation by Us: We reserve the right to cancel in cases of Force Majeure. In such rare events, we will refund all payments made and endeavor to provide a comparable alternative booking. We cannot cover incidental third-party expenses incurred.
Itinerary Changes & Special Requests
Lanka Adventure Explorers is dedicated to delivering your planned itinerary with precision. However, unforeseen operational hurdles or compelling circumstances may require necessary adjustments for your safety and comfort.
Client-Requested Changes
Once finalized, modifications are subject to availability and potential additional supplier costs, which will be communicated transparently.
Special Requests
Dietary needs, room types, or bedding configurations must be confirmed via email. While prioritized, they cannot be guaranteed as breachable contract terms.
Travel Essentials, Insurance & Health
Mandatory Travel Insurance Policy
All clients must carry valid comprehensive travel insurance covering all activities and emergency risks associated with the trip. Policy documentation must be shared prior to departure. Without adequate insurance, we reserve the right to decline participation.
Flight Times & Documentation: Please review all flight schedules upon receiving your ticket vouchers. Clients are responsible for ensuring passports, visas, driving licenses, and currency requirements are fully valid. Consult a healthcare provider for recommended vaccinations at least one month prior to departure.
Complaints & Liability
Any immediate service issues must be addressed promptly with the local service provider (e.g., Hotel Manager or Chauffeur). If unresolved, grievances must be submitted in writing within 24 hours via email to info@lankaadventureexplorers.com. Failure to follow this protocol may result in a refusal of liability.
Lanka Adventure Explorers operates exclusively through vetted contracted partners and is not responsible for transactions or liabilities undertaken with unassociated third-party providers during your tour.
Privacy & Data Protection
We maintain a strict anti-fraud policy and safeguard all personal data provided by clients, including contact details, addresses, signatures, and passport copies necessary for securing your bookings.
- We do not engage in spam, sell mailing lists, or utilize data for external marketing.
- Users must be at least 18 years old to submit inquiries or process bookings on our website.
- We reserve the right to update this privacy policy periodically with revised effective dates.
